Move from Spreadsheets to GoHighLevel

Spreadsheets are not a CRM. Here is a practical, low-risk migration plan for moving your contacts, pipelines, and follow-up processes from spreadsheets to GoHighLevel.

Move from Spreadsheets to GoHighLevel

The Problem: Spreadsheets Are Not a CRM

A spreadsheet is a list. A CRM is a system. The difference matters because a list does not follow up, does not remind you when a lead goes cold, does not book appointments, and does not tell you which stage of your sales process is leaking revenue.

Most service businesses start with a spreadsheet because it is free and familiar. Over time, it becomes a liability: contacts are duplicated, follow-up dates are missed, and no one can tell which leads are active and which are stale. The spreadsheet grows until it is unmanageable, and the business loses leads not because of bad marketing but because of bad infrastructure.

This guide walks through a practical, low-risk migration from spreadsheets to GoHighLevel — without losing data, without disrupting operations, and without needing a technical background.

Step 1: Clean Your Data Before You Import

The most common migration mistake is importing messy data. Garbage in, garbage out — but worse, because in a CRM, duplicate and incomplete records break automations.

Deduplicate

Sort your spreadsheet by phone number and email. Remove exact duplicates. For near-duplicates (same person, slightly different name spelling), merge them into a single row with the most complete information.

Standardize phone numbers

Format all phone numbers with country codes (for example, +1 for US numbers). GoHighLevel's SMS features require correctly formatted numbers.

Fill critical gaps

Every contact should have at minimum: first name, last name, phone, and email. If a contact is missing both phone and email, they cannot be reached by any automation — consider whether they are worth importing at all.

Add a status column

Add a column that categorizes each contact: "Active Lead," "Past Customer," "Cold Lead," "Vendor." This becomes a tag in GoHighLevel that lets you segment your automations.

Step 2: Map Your Spreadsheet Columns to GoHighLevel Fields

GoHighLevel has standard contact fields (name, email, phone, address) and custom fields for anything else. Before importing, decide which spreadsheet columns map to standard fields and which need custom fields.

Spreadsheet ColumnGoHighLevel Field
First NameContact First Name (standard)
Last NameContact Last Name (standard)
PhonePhone (standard)
EmailEmail (standard)
StatusTag (create matching tags)
Service TypeCustom Field: Service Type
Last Contact DateCustom Field: Last Contact Date
NotesCustom Field: Notes

Create any custom fields you need in GoHighLevel before starting the import.

Step 3: Export and Import via CSV

GoHighLevel imports contacts exclusively through CSV format. Excel and Google Sheets both export to CSV.

Export

Save your cleaned spreadsheet as a CSV file with UTF-8 encoding.

Import

Navigate to Contacts in your sub-account, click Import, and upload the CSV. GoHighLevel's import wizard lets you map each CSV column to a contact field. Match them carefully — a mismatched column puts data in the wrong field.

Deduplication settings

GoHighLevel matches existing records by Contact ID, then email, then phone. Choose whether to allow duplicates or merge on match. For a first migration, merging on match is usually correct.

Step 4: Build Your Pipeline

Now that your contacts are in GoHighLevel, give them somewhere to go. Create a pipeline that mirrors your actual sales process:

- New Lead - Contacted - Appointment Scheduled - Proposal Sent - Won / Lost

For existing customers from your spreadsheet, create them as opportunities in the "Won" stage with the original job value. For active leads, place them in the appropriate stage based on where they were in your spreadsheet.

Step 5: Replace Manual Follow-Up with Automation

This is where the migration pays off. The follow-up tasks you used to track manually in a spreadsheet become automated workflows:

1. New lead welcome — when a contact is created, send an immediate SMS and email 2. Follow-up reminders — if a lead sits in "Contacted" for more than 48 hours without a reply, send a gentle check-in 3. Appointment booking — include a calendar link in every follow-up so leads can self-book 4. Re-engagement — for cold leads, a monthly nurture email to stay top-of-mind

Each of these replaces a manual task you used to do (or forgot to do) in your spreadsheet.

Step 6: Run Both Systems in Parallel

Do not delete your spreadsheet on day one. Run both systems in parallel for two to four weeks:

- Continue logging new leads in your spreadsheet as a backup - Confirm that GoHighLevel's automations are firing correctly - Verify that every imported contact is reachable and correctly tagged - Once you trust the CRM, stop maintaining the spreadsheet

Common Migration Mistakes

1. Importing without cleaning. Duplicate contacts cause duplicate automations and wasted SMS spend. 2. No pipeline structure. Contacts sit in the CRM with no stage, so you cannot see where leads are in your process. 3. Forgetting A2P registration. Your follow-up SMS automations silently fail without carrier registration. 4. Migrating everything at once. Import a test batch of fifty contacts first, verify the import, then bring in the rest.
